Project guide for activating a Skolon SIS integration with Lexplore
This guide explains the steps included in activating a SIS integration between Skolon and Lexplore. It brings up different scenarios depending on if you are a new customer to Lexplore or a current customer organisation.
A Skolon integration project starts when a customer organisation make a license request for Lexplore in their Skolon portal.
If you need to get more info on how to make a request, see this guide: Request for integration with Skolon and Lexplore
An integration is possible for
- New Lexplore customers without data in the Lexplore portal
- Current customers who already have student and user data in Lexplore
The time frame of the project differs depending on if the customer organisation has student data in Lexplore from before or not. The time frame is communicated at the beginning of the project. Both scenarios are explained below.
Steps to activate an integration between Skolon and Lexplore
- Step 1. Customer makes an integration license request for Lexplore in Skolon.
- Step 2. The purpose of this step is to gather information about the request and respond to the customer.
- For new Lexplore customers: A Customer Success Manager(CSM) is assigned to the new customer, responds to the request, gathers info about the request, sends out a confirmation to the customer organisation and requirements of the data set that needs to be in place/students in Skolon: Information for SIS-integration
- For current Lexplore customer: Lexplore Support receives the request and leads the project, responds to the request, gathers info about the request, sends out a confirmation to the customer organisation and requirements of the data set that needs to be in place/students in Skolon: Information for SIS-integration
- Step 3. Only applied to current customers. For new customers look at step 4. Lexplore requests a mapping file of all students included in the request. Since this is a current customer that already has student data in the Lexplore portal, that data needs to match up with the new data that will come from Skolon moving forward. When the mapping file is received, we manually set the Skolon External IDs to all students.
- Step 4. Lexplore adds School IDs in the Lexplore portal, fetched from the organisations Skolon request, and creates an order in Skolon for the customer organisation.
- Step 5. Lexplore communicates with the designated people within the customer organisation that everything is prepared and that the customer now needs to add licenses for Lexplore to their schools and students.
- Step 6. Lexplore turns on the integration in dry run (simulation mode) and lets it stay in dry run until the expected amount of student and teachers are imported into Lexplore.
- Step 7. When the integration gives the expected amount of students and/or teachers the project is finalised and the integration is set from dry run to active.
Lexplore fetches data from Skolon nightly and data is visible for the customer organisation in the Lexplore portal under Administration and Logs. How to manage the SIS-log in Lexplore (Student information system integration)
Every customer organisation needs to give permission to their internal helpdesk or other designated person to access this log for when support queries appear referring to student information coming from Skolon.
